Why scheduling by feel costs you money
When you are overstaffed, you pay people to wait. When you are understaffed, the queue grows, service slows and some customers simply walk out. You see the wage bill clearly, but the lost sales never appear in any report.
Good scheduling puts the right number of people on the floor at the hours that actually need them, and that starts with knowing when your customers really arrive.
How to work out how many staff you need
- Count visitors by hour for several normal weeks, using a door counter.
- Estimate how many customers one person can serve per hour in your shop. This differs for a barista, a cashier and a sales assistant.
- Divide expected visitors per hour by that capacity to get the staff needed.
- Compare with your current rota and mark the gaps.
- Review weekly, especially around seasons and campaigns.
ExampleThursday 8 to 10 pm brings around 90 visitors an hour. If one staff member can serve about 30 customers an hour, you need three people on the floor. Your rota has two, so you are one short for those two hours.
Visitors per staff member: the number to watch
Divide visitors in an hour by staff on shift in that hour. When this ratio rises above what your team can handle, conversion usually falls. When it is very low for long stretches, you may have more people on shift than the traffic needs.
Watching this ratio by hour shows you exactly where to move a shift rather than adding a new one. Our peak hours guide explains how to find those hours.
Remember that capacity is not only about people on the till. In a café, one barista may be the bottleneck even when the cashier is free; in a fashion shop, the fitting rooms may be where customers give up. Look at where the queue actually forms.
Common staff scheduling mistakes
- Using the same rota every week regardless of season, Ramadan or school holidays.
- Planning from sales instead of visitors, which hides the customers you lost.
- Scheduling breaks during the busiest hour.
- Adding staff to the whole day when only a few hours need it.
- Not adjusting staffing before a campaign that will bring extra traffic.
How Tapsiera helps you schedule staff
Tapsiera links door visitor counts, sales and your staffing, then tells you where the gaps are in plain words: you are one staff member short on Thursday evening, and what that gap could be costing you in riyals. It also uses forecasts for the coming week so you can plan shifts before the rush, not after.
For brands with several locations, you can see each branch's staffing gaps on one screen and move people where they matter. Try the demo with sample café and mall data at app.tapsiera.com.
ExampleTapsiera estimates that adding one person on Thursday and Friday evenings could bring back around 1,200 SAR a week in sales you are currently losing to queues.
Who this is for
Café and restaurant owners with busy evenings, retail shops with weekend peaks, and multi-branch managers who need to balance staff across locations. See how it works for restaurants.
Frequently asked questions
Does Tapsiera replace my rota or HR system?
No. It tells you how many people you need at each hour and where the gaps are, so you can adjust the rota you already use.
Do I need a POS for staff recommendations?
It works best with sales data. If you have no POS, Tapsiera asks for the day's sales on WhatsApp each night, and you reply with a number or a photo.
Can it plan for Ramadan or holiday seasons?
Yes. Forecasts follow your own traffic patterns, so seasonal changes show up in the recommended staffing.
How much does Tapsiera cost?
199 SAR per branch per month, VAT included. The door sensor is 1,599 SAR one time per sensor with installation included, and you can reserve now for 99 SAR, which is deducted from your first payment.
